Job Description
Advance Career, on behalf of our client, a well established and successful Legal Firm based in Limassol, is looking to recruit a Secretary/Administrator;
Responsibilities:
Providing comprehensive office support, including clerical and administrative services to meet organizational needs.
Managing and scheduling appointments, video conferences, and meetings, ensuring an organized and accurate calendar.
Taking minutes during meetings and ensuring follow-up on action items.
Preparing and issuing invoices for the company and its clients in a timely and accurate manner.
Coordinating and managing all travel arrangements for the management team.
Assisting management with the creation and preparation of presentations, reports, and other documents.
Answering, directing, and handling incoming and outgoing calls with professionalism and efficiency.
Responding to inquiries and providing information as necessary.
Providing word processing support, including typing confidential documents and summarizing reports for management.
Performing general clerical duties, such as photocopying, faxing, mailing, and filing, ensuring proper organization and quick access.
Overseeing the filing, storage, and security of company records to maintain confidentiality and regulatory compliance.
Drafting and composing professional letters and correspondence as requested by management.
Prioritizing and managing various tasks and projects in collaboration with the management team, ensuring deadlines and objectives are met.
Ordering and maintaining office supplies and equipment to guarantee the smooth functioning of the office.
Keeping a daily/weekly time log, tracking personal and departmental tasks as required by the company.
Maintaining an up-to-date electronic contact list to facilitate quick communication within the organization.
Qualifications:
University Degree or Secretarial Studies
Fluent in English and Greek
Previous experience in a similar position will be considered as an advantage
Good presentation, organizational and time management skills
Excellent knowledge of MS Office (Word, Excel, PowerPoint and Outlook)
Benefits:
An attractive remuneration package will be offered to the successful candidate. Working hours 8-1 3-6pm Friday until 1pm
